An existing customer’s Chief Technology Officer expanded its LicenseFortress engagement to include support for a VMware license audit. The technology provider was already working with LicenseFortress on middleware and database licensing when it added VMware to the scope. With a third-party auditor requesting deployment inventories and supporting evidence, LicenseFortress helped the company gather the required data. Following completeness checks and a remote verification session, the VMware audit closed in May with no adverse findings.
The technology provider faced a VMware software license review conducted by a third-party auditor on VMware’s behalf. The objective was to establish the company’s VMware usage and assess compliance with its license entitlements.
The review required detailed information across multiple vCenter environments, including deployed products, license keys, host configurations and virtual machines. The auditor also requested supporting server and domain inventories to check whether the VMware data captured the full environment.
Differences between those sources needed explanation. Machines appearing in one inventory but absent from another required clarification, as did the relationship between the company’s hosted applications and the VMware infrastructure supporting them.
For the CTO, this created another set of audit requirements alongside an existing middleware and database licensing engagement.
The CTO extended the company’s existing LicenseFortress relationship to bring VMware expertise into the response.
LicenseFortress helped the internal team gather the data required for the VMware review.
The audit process called for both VMware deployment information and supporting inventories. These sources gave the auditor a basis for checking coverage, identifying discrepancies and requesting additional context.
During a remote verification session, the company and auditor reviewed the live vCenter environments and addressed questions arising from the collected data. They also confirmed deployment locations, production use and the legal entity accessing and benefiting from the software.
One important clarification concerned customer access. The company’s customers accessed applications hosted on its infrastructure, rather than the underlying VMware environment. The review also addressed questions about an older operations-management installation and the company’s current product usage.
LicenseFortress provided focused assistance with data gathering, helping the customer prepare the information needed to progress through the review.
The VMware audit closed in May with no adverse findings.
The customer completed the review after supplying deployment information, addressing inventory questions and participating in the auditor’s verification process. LicenseFortress helped with the data gathering required to support that response.
For the CTO, the engagement provided a practical way to address another publisher’s audit through an existing licensing advisory relationship.
A clean audit close still requires a company to substantiate its position. Deployment data must be gathered, differences between inventories explained and software usage accurately described.
This case illustrates the value of focused assistance during that process. The CTO brought LicenseFortress into the VMware review to help the internal team meet the data requirements and move the audit toward completion.
An audit can consume internal resources even when it closes without adverse findings. Technical teams must gather information, management must coordinate responses, and executives may need to review questions or escalations.
